Recall readiness

If a lot has to be recalled, you need to identify every shipment containing it and reach every customer quickly. That requires lot-level traceability captured at pick, not reconstructed afterward from receiving records. Confirm the provider can produce a lot-to-customer report on demand — and ask them to run one during the RFP.

Lot and expiration control

This is the operational core of the category. Your 3PL must:

• Capture lot and expiry at receiving, scanned rather than keyed where possible.
• Pick by FEFO — first expired, first out — rather than simple FIFO, since production and expiry order do not always match.
• Enforce minimum remaining shelf life rules, which retailers and marketplaces often mandate. Amazon and major retail buyers reject product below their threshold.
• Alert on approaching expiry far enough ahead that you can discount, donate or reposition inventory rather than destroy it.
• Quarantine holds for lots under investigation, preventing them from being picked.

Storage conditions

Most supplements carry label storage instructions along the lines of a cool, dry place away from direct light. In South Florida, a non-climate-controlled warehouse in August does not meet that standard. Heat and humidity degrade potency, cause capsules to soften or stick, promote clumping in powders, and shorten effective shelf life.

Probiotics, some liquid formulations, gummies and certain oils have tighter requirements still. Temperature-controlled storage with continuous monitoring and logged data is the right baseline for anything beyond basic tablets, and the logs matter — if a customer or regulator questions product condition, records are your defense.

Fulfillment requirements specific to supplements

• DTC and marketplace integration — Shopify, Amazon Seller Central, subscription platforms and retail EDI, often simultaneously.
• Subscription order handling, since recurring shipments dominate many supplement businesses and need reliable recurring release.
• Amazon prep to marketplace standards including expiry labeling requirements, which are stricter for consumables.
• Protective packaging — bottles leak and glass breaks; the packing standard should be defined and tested.
• Kitting for bundles, starter packs and promotional inserts.
• Returns handling with clear disposition rules. Returned supplements generally cannot be restocked and resold; make sure the provider destroys or segregates rather than quietly returning them to sellable inventory.
